Notify Event

Please use the following guidance on entering information about the event on the form. This will help to ensure readability and consistency when the event is displayed in the Scotland's War Calendar.

Title

Enter the title of the event. Capitalise the first word and proper nouns only. The title must not exceed 250 characters in length, including spaces and punctuation, and will be truncated to fit if necessary. A title is required to display the event in the Calendar and authorisation will not be given to an event without a title.

Date of event

Enter the date of the event by selecting the appropriate day, month and year. If the event takes place over more than one day, enter the date of the first day; additional dates can also be given in the Notes section. If your event is running for more than one day please email the Scotland's War Editor with the title, first/ last date of your event and any alterations in start/ finish times. The editor will duplicate your event details in the calendar.

A date is required to display the event in the Calendar, and authorisation will not be given to an event without a date.

Time

Enter the times of the start and end of the event by selecting the appropriate hour and minute. If the start time is not known or defined, enter the first hour and minute (08.00); if the end time is not known, enter the last hour and minute (23.55).

Venue location

Enter the name and address of the location of the event. This information is intended for directing delegates to the venue and does not need to be the full postal address.
Using a separate line for the Town helps to search for events by geographical location in the calendar. Select the town from the drop-down list by clicking on the name.

If the town is not in the list, select the first town name and contact the Scotland's War editor with a note of the missing town name and the date and title of the event. The editor will add the town to the list and update the event record before authorising it.

Using a separate line for the Postcode helps to link the location to a map.
Name/Street address lines can be doubled up if necessary, using a comma and space to separate them on the same line; for example, Meeting Room, Smith Building.

Fees

Enter a standardised statement about charges for attendance at the event (charges for other reasons, such as a separate charge for catering or social events, should be given in the Notes section). It helps consistency if the statement follows the pattern of these examples:

  • GBP 8.00
  • GBP 8.00 for members; GBP 6.50 for concessions; GBP 10.00 for others.

The standard abbreviation GBP (Great Britain Pounds) is preferred, to ensure compatibility with variant character displays.

If the event is free, enter Free. If fees are complicated, create a Word or PDF document and link it to the More information section with a http:// address.

Organiser

Select the name of the organising body from the drop-down list.
If the name is not in the list, select the first organiser name and contact the
Scotland's War editor with a note of the missing organiser name and the date and title of the event. The editor will add the organiser to the list and update the event record before authorising it.
If there is more than one organising body, select the main one (or first one) from the list, and give the others in the
Notes section.

Contact

Enter appropriate details of a contact for registration or further information. There is no need to enter details that are available from the webpages at the URL given in the More information section.

The contact Name can be generic, such as Registration Secretary, or personal; personal names should be given in natural order, for example D. McDonald.

Telephone and Fax numbers should be given with UK STD, not international, exchange codes, for example 0131 for Edinburgh. Information on converting these to international codes will be given in the calendar help section.

More information

Enter the URL (HTTP assumed) of a webpage or document giving further information about the event. It helps to indicate in the Notes section if the URL is not specific to this event, for example another events calendar.

Only one URL is allowed. It can be a simple HTML menu. See the note at the bottom of this page.

Notes

Enter short notes about the event. These should include, where appropriate:

  • Information about additional charges not part of the basic attendance fees.
  • Information about facilities included in the basic attendances fees, such as catering.
  • An indication of the content of the More information section.
  • Additional dates if the event is longer than one day.
  • Any other information pertinent to the event.

Each note should be ended by a full-stop, and separated by a single space.

Any other formatting such as paragraph breaks, bullet points, etc., will be lost in the standard display of the event in the calendar. If you wish to display a formatted programme or list of speakers, create it as a Word or PDF document and link to it from the More information section.

If you cannot make this More information file available from your own website, please email it to Scotland's War with an accompanying note to say which event it is for. The file will then be given a URL in Scotland's War and the More information link created by the Scotland's War editor.
